HRG Associates Ltd is an Employment and Recruitment Agency primarily focused on providing recruitment support and advice for both clients and candidates. We understand that your privacy is important to you and that you care about how your personal data is used. We respect and value the privacy of everyone who visits this website,  www.hrgassociates.co.uk (“Our Site”) and will only collect and use personal data in ways that are described here, and in a way that is consistent with our obligations and your rights under the law.
 

1. What Does This Policy Cover?

This Privacy Policy applies only to your use of Our Site. Our Site may contain links to other websites. Please note that we have no control over how your data is collected, stored, or used by other websites and we advise you to check the privacy policies of any such websites before providing any data to them.

 

2. What Is Personal Data and How Long Do We Keep Data?

Personal data is defined by the General Data Protection Regulation (the “GDPR”) and the Data Protection Act 2018 (collectively, “the Data Protection Legislation”) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.

Personal data is, in simpler terms, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data, job titles, clients you have worked for, reasons for leaving, jobs you have applied for, interviews that have taken place and follow up feedback, salary requirements, and job experience. This allows us to correctly identify you in terms of finding you the right terms of employment moving forward. We can then categorise you on our CRM for searching purposes.

Any information regarding a candidate will be kept on our records for 3 years following on from initial consent. Any candidate placed by HRG Associates Ltd will be kept on the CRM system for a further 6 years due to invoicing and admin and identification purposes. Your details can be removed on request if you require us to do so.

 

3. Who is Collecting my Data and How is it Collated?

Only employees of HRG Associates Ltd can access your data from the website with log in password protected access.

The majority of our candidate data comes from direct applications via the HRG Associates Ltd website, via email directly,  third party websites which are job boards (database access and advertising – these job boards will also have their own database protection policy) Linked In and even via text. Candidate details and information can also be obtained via telephone call with a member of the HRG Associates Team.

Where consent has not been given by the candidate to retain their information, this will be deleted from all platforms within 30 days.

4. Why is my Personal Data being Collated and How will it be Used?

The more data and information we have for you as a candidate will allow us to identify and match suitable job roles best matched to your skillset.

With your permission we may use your personal data for marketing purposes, which may include contacting you by email/phone or text with information on the job market, relevant news, and job alerts. This is something that you can opt out of at any time.

However, the main reason for collating information is to submit relevant data to potential clients in relation to your job search. This may be on a speculative basis or however for a “live” role with the client. HRG Associates Ltd prides themselves on gaining full disclosure from you as a candidate regarding applications to a client. This is also identifying them as a client to you by name before any process takes place.

 

5. Do You Share My Personal Data? If so, Who Sees it?

We will not share any of your personal data with any third parties for any purpose subject to the following exceptions: -

  • Specific job roles with clients that we have discussed in advance via email, phone or text and followed up in writing to you.

  • Your details will then be sent directly to the client, and/or client CRM Portal specially for a job or potential job.

  • Only line managers, HR and the Internal Recruitment team will have access to your data at that point.

If any of your personal data is shared with a third party, as described above, we will take steps to ensure that your personal data is handled safely, securely, and in accordance with your rights, our obligations, and the third party’s obligations under the law.

 

6. Changes to this Privacy Policy

We may change this Privacy Notice from time to time. This may be necessary, for example, if the law changes, or if we change our business in a way that affects personal data protection.

Any changes will be immediately posted on Our Site and you will be deemed to have accepted the terms of the Privacy Policy on your first use of Our Site following the alterations. We recommend that you check this page regularly to keep up to date. This Privacy Policy was last updated on 3rd August 2020.
